Plain English: we collect the minimum info needed to deliver your correction response kit, and we don't sell or rent it. You can ask us to delete your intake data at any time.

What we collect

When you submit an intake form, we collect:

  • Your name, company name, email, and phone
  • Permit number, jurisdiction, and property address
  • Contract value (used for valuation-language drafting)
  • The correction notice you paste or upload (this can include text from a city building department about your specific permit)
  • Any notes you add about the job

Some building-permit data is also published independently through municipal public-record systems or supplied in response to public-record requests; availability, terms, and exemptions vary.

Why we collect it

To run the AI workflow that produces your correction-response packet, send it to you, and follow up with you about the job. Full stop. We don't use your intake data for marketing to other people, we don't enrich it against external databases, and we don't sell it.

Who else sees your data (our sub-processors)

We use a small number of trusted third-party services to operate Refile. Each receives only the data needed for its specific job:

  • Vercel — hosts the website and runs the API that receives your intake submission
  • Anthropic — provides the AI model that decodes your correction notice and drafts the response packet
  • Resend — sends emails (intake notifications, packet deliveries)
  • Stripe — processes payment when you order a response kit and records the payer email and permit number needed to match payment to the intake (never sees your correction notice)
  • Instantly — manages the dedicated business outreach mailbox and email sequence (sees business contact and public permit details used in that outreach; does not receive customer correction-notice uploads)
  • GitHub — stores the source code (does not see customer intake data)

Each vendor operates under its own published privacy and data-handling terms. Review those terms if you need details about a particular provider.

How long we keep it

We keep intake data only as long as reasonably needed to deliver the service, handle follow-up questions, and maintain necessary business records. To request deletion, email Preston@willisinnovations.com and we'll confirm what can be deleted and when.

No sale, no list rental

We do not sell or rent your intake data, and we do not build marketing lists from intake submissions. We share intake data only with the service providers described above when needed to operate Refile. If you receive marketing from us in the future (e.g., a newsletter about Florida permit trends), it will be opt-in, and every message will include a one-click unsubscribe.

Email outreach and unsubscribe

If you received a business email from us, your company was listed as the contractor of record in municipal building-permit records obtained through a source authorized for that use, and we reached out about a specific job. Every email includes unsubscribe instructions in the body. Reply "unsubscribe" to any email and we'll remove the address from future outreach.

Your rights

You can request a copy of the intake data we have about you, or request deletion, at any time. Email Preston@willisinnovations.com.

Changes to this policy

If we change this policy, we'll update the "Last updated" date at the top and post the new version at this URL. Material changes (e.g., new sub-processors, new data uses) will also be communicated to customers with active intakes via email.
