What we collect

When you submit an intake form, we collect:

• Your name, company name, email, and phone
• Permit number, jurisdiction, and property address
• Contract value (used for valuation-language drafting)
• The correction notice you paste or upload (this can include text from a city building department about your specific permit)
• Any notes you add about the job

Building permit data itself is generally public record under Florida Sunshine Law and similar state statutes.

Why we collect it

To run the AI workflow that produces your correction-response packet, send it to you, and follow up with you about the job. Full stop. We don't use your intake data for marketing to other people, we don't enrich it against external databases, and we don't sell it.

Who else sees your data (our sub-processors)

We use a small number of trusted third-party services to operate Refile. Each receives only the data needed for its specific job:

• Vercel — hosts the website and runs the API that receives your intake submission
• Anthropic — provides the AI model that decodes your correction notice and drafts the response packet
• Resend — sends emails (intake notifications, packet deliveries)
• Stripe — processes payment when you accept a rescue (sees only what's needed for the card transaction; never sees your correction notice)
• GitHub — stores the source code (does not see customer intake data)

Each of these vendors has their own privacy practices and contracts with us about data handling. We choose them because they have mainstream B2B security postures.

How long we keep it

By default, we delete your intake data 90 days after we deliver your packet. If you'd like us to keep it longer (e.g., for your own records on a particular permit), email Preston@willisinnovations.com and we'll set a longer retention. If you want it deleted sooner, same email — we'll confirm and purge it.

No sale, no list rental

We do not sell, rent, or share your intake data with third parties for marketing or any other purpose. We do not build mailing lists from intake submissions. If you receive marketing from us in the future (e.g., a newsletter about Florida permit trends), it will be opt-in, and every message will include a one-click unsubscribe.

Email outreach and unsubscribe

If you received a cold email from us, it's because we found your company in public building-permit records (a public-record source) and reached out about a specific job. Every email includes unsubscribe instructions in the body and a one-click unsubscribe in the email header (Gmail and Outlook surface this natively). Reply "unsubscribe" to any email and we'll remove you immediately.

Your rights

You can request a copy of the intake data we have about you, or request deletion, at any time. Email Preston@willisinnovations.com. We respond within 5 business days.

Operating entity

Refile is a service of Willis Innovations LLC, a Georgia limited liability company. Mailing address is available on request — email us and we'll provide it.

Changes to this policy

If we change this policy, we'll update the "Last updated" date at the top and post the new version at this URL. Material changes (e.g., new sub-processors, new data uses) will also be communicated to customers with active intakes via email.
